Mountain Freedom LLC, doing business as Mountain Freedom Wellness
Last updated: October 21, 2026
1. Who is responsible. Mountain Freedom LLC, 340 East 4380 North, Provo, UT 84604, orders@mtnfreedom.com ("we") is the controller of the personal information described here. This policy applies to our store, readings, memberships, and tools. Our store is hosted by Shopify, which processes some information for its own purposes; see Section 6.
2. What we collect.
- Birth data: date, time, and place of birth, and, if you choose, another person's (a partner, child, or family member). Combined with your name or email it can identify you and reflects private life details, so we treat it as sensitive personal information.
- Contact, account, and order data: name, email, phone, billing and shipping addresses, order history, subscription details. Payment processors handle card details; we do not see or store full card numbers.
- Session content: what you tell us in sessions and intake forms. We record audio and/or video of sessions through Google Meet and keep transcripts and notes. Recordings may also be stored in Microsoft OneDrive. We tell you at the start of each session that it is being recorded.
- Reports and member records: the readings we prepare for you and notes we keep so a membership's readings stay consistent over time.
- Marketing and lead data: name, email, and your answers to lead-form questions (such as the life areas you are interested in), and your email engagement.
- Technical data: IP address, device and browser information, cookies, and usage data.
- Information about others: if you give us someone else's birth data, you confirm you have permission.
We do not intentionally collect government ID numbers, health records, or financial account numbers, and ask that you not send them. Sensitive details you volunteer in a session are used only to deliver your reading.
3. How we use it. To calculate charts and prepare readings, reports, plans, and calendars; to deliver and bill for orders and subscriptions; to schedule and run sessions; to communicate with you, with an unsubscribe link in every marketing email; to maintain continuity for members; to prevent fraud and enforce our terms; and to meet legal obligations. We do not sell personal information. We do not use birth data or the contents of your readings for advertising. We do not train AI models on your content.
4. Legal bases (EEA/UK). Contract (delivering what you ordered), consent (marketing, optional cookies, sensitive details you volunteer, session recording), legitimate interests (security, member continuity), and legal obligation (tax and accounting).
5. What our chart tools store. Our chart tools run in your browser. We do not receive or store the birth details you enter into them. Some tools save data in your own browser so you can return to it; clearing your browser data removes it. If this changes, we will update this policy before it takes effect.
6. Who we share it with. Service providers acting on our behalf: Shopify (store, checkout, customer records, and enhanced features described below), our subscription billing provider (Appstle), payment processors, Zapier (workflow automation), Zoho (CRM and email), Meta (lead ads and advertising), Google (advertising and analytics measurement, including YouTube; also Meet and Drive), Judge.me (product reviews), Microsoft (OneDrive), Appointo (scheduling), email providers, and Anthropic, an AI provider that helps us prepare charts and reports, which we review before delivery. We may disclose information when legally required, to protect rights and safety, or in a business transfer. We do not sell personal information.
Relationship with Shopify. Shopify hosts the store and collects information about your interactions with it. For some enhanced features Shopify is responsible for processing your information; see the Shopify Consumer Privacy Policy and Privacy Portal.
7. International transfers. We are in the United States, and our providers process data there and elsewhere. For EEA/UK residents, transfers rely on safeguards such as the EU-US Data Privacy Framework (where the provider participates) or Standard Contractual Clauses.
8. Retention.
| Data | Retention |
|---|---|
| Reports, dossiers, birth data (members) | Duration of membership plus 5 years |
| Reports, birth data (one-time clients) | 5 years after last service |
| Session transcripts and notes | Same as reports |
| Session recordings (Google Meet and OneDrive copies) | 30 days |
| Order and billing records | 7 years (tax and accounting) |
| Leads who never purchase | 24 months of inactivity, then deleted |
| Chart-tool inputs | Not received or stored by us (browser only) |
Retention may be shorter where you ask us to delete data, and longer where the law requires.
9. Security. We use reasonable technical and organizational measures, including access controls and vendor security. No system is perfectly secure, and information you send over unsecured channels may not be protected. Tell us at orders@mtnfreedom.com if you suspect misuse.
10. Your rights (everyone). Whatever your location, you can ask us to give you access to, correct, delete, or export your personal information, restrict or object to our use of it, withdraw consent, opt out of "sale" or "sharing," and unsubscribe from marketing. Email orders@mtnfreedom.com or call 801-641-4243. We verify your identity and respond within 30 days. Deletion covers our store, CRM, automation history, session recordings and transcripts, and our client files. We do not discriminate against you for exercising your rights. You may use an authorized agent with proof of authorization.
11. EEA/UK additions. You have the rights to object, restrict, port, and withdraw consent described above, and you may complain to your local supervisory authority (list at edpb.europa.eu).
12. California and other US states. In the past 12 months we collected the categories in Section 2, for the purposes in Section 3, and disclosed them to the providers in Section 6 for business purposes. We do not sell personal information. Where Meta and Google measurement, server-side event sharing, or customer-list uploads qualify as "sharing" for cross-context behavioral advertising, you can opt out at mtnfreedom.com/pages/data-sale-opt-out or with a Global Privacy Control signal, which we treat as an opt-out for that browser and, if we can link it, your account. We do not recognize other "Do Not Track" signals. We do not knowingly sell or share information of anyone under 16.
13. Cookies and advertising measurement. We use cookies for the store to function, for analytics, and for advertising measurement. We use advertising and analytics tools from Meta (Facebook and Instagram) and Google (including YouTube) on our store, some of which also send order and customer event data from our store's servers to those companies. Judge.me collects review-related activity. Shopify's network features may use information from your interactions with our store, including your purchases and form answers, for personalization and advertising. We do not send birth data to Shopify's customer records. We upload a list of customer emails and phone numbers to Meta to reach and exclude audiences. Meta also receives information you submit through its lead forms. We do not use birth data for advertising. To have your details removed from our advertising audiences, email orders@mtnfreedom.com. You can control cookies in your browser.
14. Children. The Services are for adults 18 and older. If you think a child's data was provided, contact us and we will delete it.
15. Changes. We will post updates here with a new date and email members and customers about material changes.
